Hotel Room Block Management with Group 360

We work with Group360 for hotel room block management for events. This partnership ensures a seamless experience for attendees when booking accommodation. This document provides a step-by-step guide for event organizers on how to facilitate hotel room bookings for attendees.

Process overview

1. Identifying the hotel

You need to decide on the hotel(s) you wish to offer to attendees for accommodation. Once decided, inform the Zuddl team: the name, address, and contact details of the chosen hotels along with the go-live date for the bookings/registration. If you are able to share the contract you have with your hotel, the process would be expedited even further and we would be able to move straight to onboarding


2. Initial communication with hotel

You should contact the hotel informing them of the partnership with Group360. This communication is crucial to ensure a seamless onboarding process and faster turnaround times. Below is a sample script for communicating with the hotel management:

Regarding the “eventname” that we are hosting with you, we wanted to inform you that we have partnered with Group360 for room block management for this event.
“We would like to connect you to Group360 to discuss how we can handle sharing the rooming list seamlessly. Please let us know who the right person to connect with from your side.”

3. Onboarding by Group 360

Once you connect your hotel with Zuddl and Groups360, the onboarding process for the Hotels will commence. Group 360 will directly contact the hotel management to complete the onboarding. Please note that the time taken by Groups360 to complete the onboarding process depends entirely on the level of co-operation done by the Hotel. If the hotel has longer processes, it might take slightly longer to onboard them and if the hotel is already partnered with Group360, you can surely expect faster turnarounds.

4. Handling unwilling Hotels

In cases where the hotel management is not willing to be onboarded onto Group360, you can inform the hotel that it won't be a problem as Group360 is able to work with them offline as well. Below is a sample script that can be used to communicate this:
“Hello. We are sorry to hear that you wish to not be integrated with Group360. That would have made the process faster and more streamlined but we would not let that impact us as Group360 can work with you offline as well to collect room information.”
Gather the following details from the hotel (as outlined in the contract) and share them with the Zuddl team to coordinate with Group360. 
  • Room category assigned as part of the block
  • Number of rooms
  • Price
  • Attrition policy
Alternatively, you can also have the concerned hotel person get in touch with Group360 to be able to coordinate directly as well.

Timelines

The booking link is expected to be ready in 2 weeks from the date of completion of the hotel's onboarding process. A minimum notice of 3 weeks or more is required to be given to the Zuddl team before the registration goes live.
All timelines mentioned in this article are tentative and may vary depending on the conditions mentioned.
