How to Enable Unassigned Tickets for your In-person Event

Sometimes, filling out the entire registration flow and buying tickets for multiple people can become a big task, especially when the purchaser doesn't have all the information required to complete the registration.

You can enable purchasers to buy tickets for multiple people without actually filling out the whole registration flow for them.


Enabling unassigned tickets

To enable the purchase of unassigned tickets:

  1. Go to Registrations > Registration flow > Advanced settings.
  2. Under Registration settings, toggle on Allow tickets to be assigned later toggle. This allows purchasers to purchase tickets without filling any attendee details.
  3. A second toggle - 'Attendees have to complete their own registration' is also automatically turned on. This means that the purchaser can choose to fill the first name, last name, and email address, but the other details must be completed by the attendees themselves.
  4. Go back to the flow builder screen and click Publish
Republishing the flow is important for the settings to appear on the registration.
Settings to turn on/off 
- Turn off auto-fill form fields option
- Remove the approval step from the registration flow
- Turn on Incomplete attendee registration email
- Turn on Ticket confirmation (Incomplete & unassigned registrations) email
- Turn on Ticket confirmation email
These toggles are disabled for non-ticketed registrations

Editing the form

Once you have enabled the settings, a checkbox - 'This ticket is for someone else' with 'Assign this ticket later' link appears on the first registration form.

The 'Assign this ticket later' link on the form is shown for reference only, during registration the link will be shown only after the 'This ticket is for someone else' checkbox is selected.

Refer to the attendee side flow to understand the scenarios

You can customize the text for the checkbox and link on the Form details edit section on the right.
 


Ensure that you rename this field accurately according to its function. Understand the different scenarios before renaming the field. Incorrect renaming of the field may confuse the attendees and can impact the registration.
When the approval step is added, the unassigned toggles can't be turned on.

Purchaser flow

The different purchaser flows with applied registration settings are explained below:

Purchasing a single ticket

When purchasers want to buy a single ticket for someone else.

  1. On the first form, the purchaser selects the 'The ticket is for someone else' checkbox. In this case, only the basic registration form fields - First name, Last name, and Email are shown.

  2. The purchaser fills out the basic registrant details, namely, the First name, Last name, and Email address.
    If the purchaser selects the checkbox after filling in the form details, the below confirmation dialog is shown to the purchaser:


    Clicking on 'Clear my details' button would clear all details (including First name, Last name, and Email address) entered by the purchaser on that page
  3. Purchaser clicks the Register now button, and proceeds to the ticket selection steps.
  4. The purchaser fills out the required forms and continues with the complete registration flow.
When purchasers want to buy tickets for herself/himself, they do not select the 'The ticket is for someone else' checkbox. All registration forms and fields are displayed to the purchaser.


Assign ticket later

If the purchaser does not have registrant information (i.e First name, Last name, and Email address), the purchaser can buy the ticket first and assign it later.

  1. The purchaser selects the 'The ticket is for someone else' checkbox.
  2. The purchaser then clicks the Assign this ticket later button. This redirects the purchaser to the ticket selection page and then directly proceeds to the ticketing step.



Purchasing multiple tickets

Ticketing can also be a first step in a registration flow, in that case, the form filling comes after ticket selection.

Filling out the first form

When purchasers want to buy multiple tickets for someone else.

  1. On the first form, the purchaser selects the 'The ticket is for someone else' checkbox. In this case, only the basic registration form fields namely  - First name, Last name, and Email are shown.

    Along with others, if the purchaser wants to buy tickets for herself/himself, they can uncheck the checkbox and fill in their details during purchase or choose to skip.
  2. The purchaser fills out the basic registrant details, namely, the First name, Last name, and Email address, the tickets can be assigned immediately.
    If the purchaser selects the checkbox after filling in the form details, the below confirmation dialog is shown to the purchaser:


    Clicking on 'Clear my details' button would clear all details (including First name, Last name, and Email address) entered by the purchaser on that page.
  3. The purchaser clicks the Register now button and proceeds to the ticket selection steps.

Assign ticket later

If the purchaser does not have registrant information (i.e First name, Last name, and Email address), the purchaser can buy the ticket first and assign it later.

  1. The purchaser selects the 'The ticket is for someone else' checkbox.
  2. The purchaser then clicks the Assign this ticket later. This redirects the purchaser to the ticket selection page and then directly proceed to make the payment.


Filling out attendee details for tickets

After ticketing, when the purchaser fills out attendee details, the 'This ticket is for someone else' checkbox and the 'Assign this ticket later' link appear again. This gives the purchaser more control over selecting the required option for each ticket.

If you had already selected the 'This ticket is for someone else' checkbox when filling out the first form, the same checkbox appears selected for all attendees on the Attendee details screen.

The different purchaser scenarios at this step are explained in the following section.

  1. The first attendee's details are auto-filled based on the first form. However, you can edit the details if required.
  2. The purchaser fills out the basic fields (First name, Last name, and Email) for the rest of the attendees are displayed for the purchaser to fill in on behalf of the attendee. All the other fields are hidden.
  3. The purchaser clicks the Register now button and moves to the next attendee.
When the purchaser wants to buy tickets for herself or himself, she or he clears the 'The ticket is for someone else' checkbox selection on the attendee details form, fills out the required fields and continues with the complete registration flow.


Assign ticket later

If the purchaser selects the 'Ticket is for someone else' checkbox and then clicks the 'Assign this ticket later' link.

They are redirected to the ticketing page directly, after which the purchaser can directly proceed to make the payment


If the purchaser selects the 'This ticket is for someone else' checkbox after the purchaser has filled in the attendee details, all the details (including first name, last name, and email address) entered by the purchaser get cleared.
When you try to clear the checkbox in the attendee details screen, after you have already entered your details in the first form, you will be shown an error that you already have registered yourself.

The unassigned tickets in the order summary page look like this

You can click the Edit details link to go back to filling in attendee details.

How unassigned tickets are assigned

On the thank you page, the purchaser can click on the Edit registration button to access the Edit registration page.

When unassigned tickets are purchased, the purchaser receives a Ticket confirmation email for incomplete and unassigned tickets. 
Even if one out of many tickets in the order is unassigned or incomplete, this email is sent to the purchaser. 

On the edit registration page, the purchaser can view all the tickets in the order shown in its respective categories - Unassigned tickets, Incomplete registrations, and Registered attendees.

To assign unassigned tickets,

  1. The purchaser clicks on the Assign attendee button of an unassigned ticket.

  2. Next, the purchaser enters the basic attendee details - First name, Last name, and Email address.
  3. Clicks the Assign attendee button.

The assigned ticket gets added under the Incomplete registration section on the edit registration page.

At this point, the Incomplete attendee registration email is triggered to the attendees. How the attendee completes the registration is explained in the next section.



How attendees complete their registration

The 'Complete your registration/Incomplete attendee registration' email, 'Registration reminder email to attendees', and 'Registration confirmation' emails must be turned on for this step.
  1. When the purchaser assigns a ticket, the attendee receives the 'Complete your registration' email with a link to complete their registration.
  2. When the attendee clicks on the 'Complete registration' button they are taken to the registration flow where they can fill in the required details.
  3. After the attendee has completed the registration, they receive the registration confirmation email with ticket details.
The ticketing step will be non-editable by the attendees since tickets have already been purchased by the purchaser. If ticketing is the first step, they can click Continue and skip the step.

If a registration is incomplete, the Incomplete attendee registration email is triggered to the attendees.


The attendees can click the Complete registration button on the email and arrive at the edit registration page.



Limitations

  • Registration setting does not work along with registration approval. The toggles can't be turned on when the approval step is added.
  • Organizers can't modify tickets until registration is complete. They can, however, complete the registration on behalf of the registrants.
  • Ticket condition & email domain restriction will be validated when the attendee tries to complete the registration.
  • When an organizer edits registration, they can add any email address, but conditions are applicable when a purchaser tries to enter email address.
